1. Booking Alterations & Notice Periods
Before Starting: Parents have until the 3-month check-in window to request adjustments to their requested days or start date without penalty. After this check-in closes, any subsequent alterations require a minimum of 1 full month’s’ notice in writing via email, a £25 administration charge will apply.
Increasing Sessions (After Starting): You are welcome to increase your child’s days at any time without notice. Additional days will be offered subject to availability, and your annualised monthly invoice will adjust automatically on Famly from the date the new sessions begin.
Reducing Sessions (After Starting): To help us manage our staffing and invoicing, we require one full calendar month’s notice to make a reduction to your child’s booking pattern. The request must be made in writing and sent via the Famly app to “managers”. If the request is not received by the last day of a calendar month it will automatically be carried forward to the next month, and the change will not come into effect until the 1st day of the following month.
On-Time Request Example: If your written notice to reduce days is received by 30th September, the new booking pattern will apply from 1st November.
Late Notice Request Example: If you give notice late (on or after 1st October), your notice period will be carried forward. This means the new booking pattern will apply from 1st December.
Balance Reconciliation: Because your monthly invoices are evenly spread into 12 equal payments, a final balance check is completed on Famly when any changes to bookings are made. Any shortfall balance owed for care already received must be settled in full before the reduction takes effect. If an invoice has already been issued for that period, a £10 administration fee will apply to process the change.
2. First Invoice, Settling Sessions & Deferral
As fees are due in advance, you will receive your first invoice via the Famly app immediately following your child’s 1st settling-in session. You must pay this invoice before your child’s first official full day. If payment is not received before the first full day, your child will not be able to start as planned, and we reserve the right to defer the start date until payment clears. We reserve the right to terminate your child’s place if you fail to pay your invoices on time.
3. Monthly Invoices & Late Fees
Fees are due one month in advance and are payable by the last working day of each month. Invoices are generated via the Famly app in the first week of each month and are calculated using an Annualised Billing Model, where your child’s weekly sessions are multiplied across our 51 operational weeks and divided into 12 equal monthly instalments. Consequently, your monthly invoice remains identical every month, regardless of how many weeks or closure days fall within that specific calendar month. A late payment fee of £10 per week will be incurred for any late payments. We reserve the right to suspend your child’s place temporarily if you do not pay your invoice on time.
4. Late Collection
If you are late to pick up your child, we reserve the right to charge a late collection fee. Please see our late collection/non-collection policy for further information.
5. Payment Methods
We accept payment via bank transfer or Tax-Free Childcare. If you use Tax-Free Childcare, please be aware that it can take up to 5 days for the money to reach our account once you have paid via your Government Gateway account.
6. Nursery Closures
We are closed all bank holidays and weekends and close at 13:00 on Christmas Eve / the last working day before Christmas – reopening the first working day of the New Year. Fees are annualised to include standard operational bank holidays throughout the year; however, parents are strictly not charged for the physical days of our Christmas closure period (including the Christmas Day and Boxing Day bank holidays). Please note: Enrichment charges are strictly excluded from days the nursery is physically closed. Famly will automatically omit these charges on all bank holidays and official closure dates.
7. Collection & Security
No child will be given into the care of someone we do not know. If any person other than a parent is collecting a child, we must be informed of this beforehand, and systems must be put into place, for example, a password.
8. Absences & non-refund
All sessions must be paid for whether the child attends. Refunds will not be given for sessions missed due to holidays, illness (including Covid), or days out. Failure to make payments will result in the termination of the nursery place, without notice, and no refund will be given.
9. Illness & Exclusion
In the interests of health, we reserve the right to exclude a child from the nursery in the event of illness or of threat of infection to the other children, and to seek a medical opinion if required. If a child vomits, has diarrhoea, or an unexplained rash in the nursery, a parent/guardian will be telephoned to collect them immediately.
10. Famly Profile & Emergency Contacts
Upon registration, parents must fully complete all sections of the child’s Famly profile before their start date, including Basic Information, Health, Sensitive Information, Registration, and Permissions. It is a parent’s responsibility to keep this information up to date. To comply with safeguarding standards, parents must provide a minimum of 4 emergency contacts on their child’s profile where possible. Please note that while the app is used for invoicing for all families, regular digital updates and photographs are a feature of our optional Enrichment Package, as outlined in our Funding Policy.
11.Safeguarding
The safety and welfare of children in Baby Blossoms’ care will be paramount. We have a duty to protect all children and will pass on any concerns to the appropriate agencies; this includes Health Visitors and Children’s Social Care. We will always speak to you before passing on concerns, unless we have significant safeguarding concerns.
12. Clothing & Belongings
Baby Blossoms does not accept any responsibility for any toys or clothing brought into nursery from home. Although aprons are provided in nursery, it is highly likely that your child may get paint and glue on their clothing at some time. Please be aware of this fact and send them in clothes that you don’t mind getting dirty.
13. Notice Periods (Leaving the Nursery)
If you wish to withdraw your child from Baby Blossoms Nursery, you must give us one full calendar month’s notice in writing via the Famly app; the message must be sent to “Managers”.
To help us manage our staffing and invoicing, notice must be given by the last day of the month to come into effect for the next calendar month. If it is not received by the end of a calendar month it will automatically be carried forward to the next month, and your notice period will not begin until the 1st day of the month after that.
14. Final Bill Check (Reconciliation):
Because your monthly invoices are averaged out over 12 equal payments, a final balance check is completed on Famly when you leave. We calculate the exact value of every physical day your child attended from their start date (or the start of the academic year) up to their final day. If they have attended more days than you have paid for, the difference will be added to your final bill. If you have overpaid, we will promptly refund the difference to you.
15.Policies & Procedures
All of our policies and procedures are on our Famly app and are available upon request. It is the responsibility of the parent to ensure they have read and understood these.
16. Government Funding
All funded places are subject to the terms, term dates, and delivery structures set out in the separate Baby Blossoms Nursery Early Education Funding Policy. Parents are fully responsible for obtaining and re-validating their funding codes every 3 month’s and completing the parental agreement via “Funding Loop” prior to their child’s start date. If a funding code is invalid, expires, or is rejected by the Local Authority, parents remain fully liable for all fees incurred.
